By using the Service, you agree to this Privacy Policy.
1. Information We Collect
1.1 Information You Provide
We collect information you provide directly, such as:
- Account information: name, email address, password (stored in encrypted/hashed form), organization/agency name.
- Billing information: payment method details and billing contact info (processed by our payment processor; we typically do not store full card numbers).

- Time-tracking data (e.g., hours by client/project)
- Client lists and related metadata
- Assumptions you configure (e.g., burden rate, runway thresholds, blended hourly cost)
Important: Koladr does not “sell” your Customer Data. Customer Data is used to compute deterministic metrics and generate summaries you request.
1.3 Information Collected Automatically

- Device and usage information: pages/screens viewed, features used, timestamps, clicks, referring URLs.
- Technical information: IP address, browser type, device type, operating system, approximate location derived from IP.

1.4 Information From Third-Party Services
If you connect third-party services (e.g., accounting/time tools), we may receive data as authorized by you and by those services’ APIs. This can include financial summaries, time entries, and related metadata.
2. How We Use Information
We use information to:
- Provide the Service (e.g., account access, dashboards, computations, reports).
- Process transactions (subscriptions, invoicing, receipts).
- Sync and display integrations you connect (e.g., QuickBooks, Harvest).
- Improve and secure the Service (debugging, monitoring, fraud prevention).
- Communicate with you (support, product notices, service updates).
- Generate CFO-style summaries of computed metrics (where enabled), while keeping core numbers deterministic and derived from your inputs.
We may use aggregated or de-identified information for analytics and to improve the Service.
3. How We Share Information
We share information only as needed to operate the Service:
3.1 Service Providers
We use vendors to help provide the Service (e.g., hosting, databases, email delivery, analytics, customer support, payment processing). These providers may process personal information on our behalf under confidentiality and security obligations.
3.2 Payment Processing
Payments are handled by a third-party payment processor. We may receive limited billing details (such as last 4 digits, expiration month/year, billing status) but typically do not store full card details.
3.3 Third-Party Integrations You Enable
If you connect third-party services, information is exchanged between Koladr and those services as directed by you. Your third-party provider’s privacy practices also apply.
3.4 Legal and Safety
We may share information if we believe it is necessary to:
- comply with law, regulation, or legal process,
- protect the rights, safety, and security of Koladr, our users, or others,
- investigate or prevent fraud, abuse, or security incidents.
3.5 Business Transfers
If we are involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets, information may be transferred as part of that transaction.
We do not sell your personal information or Customer Data.
4. Data Retention
We retain personal information and Customer Data as long as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce agreements.
If you delete your account, we will delete or de-identify information within a reasonable period, except where retention is required by law or for legitimate business purposes (e.g., security logs, billing records).
5. Security
We use reasonable administrative, technical, and organizational safeguards designed to protect information. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
You are responsible for maintaining the confidentiality of your credentials and using strong passwords.
6. Your Choices and Rights

You can control cookies through your browser settings. Some features may not function properly if cookies are disabled.
8. Children’s Privacy
The Service is not intended for children under 13 (or the minimum age required in your jurisdiction). We do not knowingly collect personal information from children. If you believe a child provided information, contact us and we will take steps to delete it.
9. International Transfers
If you access the Service from outside the United States, your information may be transferred to and processed in the United States or other locations where our providers operate. We take reasonable steps to protect information consistent with this Privacy Policy.
